Scout uses a small set of terms across the console and these docs. This page explains each one in plain words and links to where it matters.
Jobs and candidates#
| Term | What it means |
|---|---|
| Job, opening | A role you're hiring for. The console calls a job you add yourself an opening (New opening). See Add a job. |
| ATS job | A job synced from your applicant tracking system. Its stages and candidates come from the ATS, and you change its pipeline there. |
| Manual job | A job you add in Scout, for a role with no ATS behind it. You add its candidates directly. |
| Stage | A step in a job's pipeline, such as a screen or an interview. A workflow attaches agents to stages. See Manage pipeline stages. |
| Job setup | A job's tab for what the agent asks, how answers are scored (Score mix) and Who gets called. See Set up a job for screening. |
| Resume match | How well a candidate's resume suits the job before any call. Call if resume match ≥ can hold back a first call. It never feeds the score. |
| Candidate panel | The panel that opens when you select a candidate on a job, with tabs such as Decision, Detailed analysis, Timeline, Calls and Notes for the agent. |
Agents#
| Term | What it means |
|---|---|
| Agent | The AI caller: its voice, script and questions. Each agent has one type, which can't be changed. See Agent types and templates. |
| Phone Screening | Screens an applicant against a job: experience, notice period, pay, work mode and the job's questions. |
| Interview Scheduling | Finds and books an interview slot that suits the candidate. |
| Video Interview | A recorded video conversation the candidate takes from an emailed link. |
| Reference Check | Calls the references a candidate gave you. |
| Draft | The version of an agent you're editing. It saves as you go, but it can't call candidates. |
| Version, publish | Publishing freezes the draft as a numbered version (v1, v2…). Calls always run the published version. See Test and publish an agent. |
| Agent Studio | Build an agent by describing what you want in a chat. See Build an agent with Agent Studio. |
| Voice Studio | Find, audition and save voices to My voices. Admins can Clone a voice. See Voices and Voice Studio. |
| Digital twin | Teaches Scout how you screen, from role-play or your past calls, so an admin can apply it to an agent. |
Workflows and calling#
| Term | What it means |
|---|---|
| Workflow | Says which agent calls at which stage, for every job assigned to it. See How workflows call candidates. |
| Draft, Active | A new workflow is a draft and never calls anyone. It calls only once you click Activate. |
| Calls from | The phone number a workflow's calls come from, so candidates see one caller ID. See Get a phone number. |
| Calling hours | The days and times automatic calls may ring, in the candidate's own time. Call now isn't held to them. See Calling hours, retries and time zones. |
| Test Call Number | A number that receives every call meant for a candidate, for trying Scout on yourself. On the free trial, calls ring only this number. |
| Follow-up | A point from a call you want checked with the candidate. The workflow's Follow-ups agent calls about it, or it waits for you. See Call a candidate now and follow up. |
Results#
| Term | What it means |
|---|---|
| Verdict | The top of a scored call: a score from 0 to 100, its fit band and a short summary. See Review a screening call. |
| Fit band | The score in a word: Strong (85 and above), Good (70–84), Possible (50–69) or Weak (below 50). Missing a hard requirement, such as the notice period, caps a candidate at Possible. |
| Score mix | How much each area (screening answers, technical, communication) counts towards a job's score. Scout suggests it from the job description, and you can change it. |
| Key answers | What the candidate said to each question, shown as What they told us, each linked to its place in the call. |
| Transcript | The full call, word for word, beside the recording. |
People#
| Term | What it means |
|---|---|
| Workspace | Your team's space in Scout: its jobs, agents, workflows, settings and billing. You can belong to more than one. |
| Admin | Sets the workspace up: agents, workflows, integrations, team, settings and billing. Settings only admins can change are marked Admin. |
| Member | Works jobs, candidates and calls, and can test agents. See Roles and permissions. |
