Calling hours, retries and time zones
Calling settings control the automatic calls a workflow stage places: when they may ring and how hard Scout tries before giving up. A call you place yourself with Call now isn’t held back or retried.
Before you start
- You are a workspace admin.
Open the calling settings#
Open your account menu and choose Account settings.
Under the workspace sections, choose Calling.

- 01Tries per candidate and Next try
- 02Calling days and hours
- 03Workspace time zone
If nobody picks up#
| Setting | What it does | Choices (default) |
|---|---|---|
| Tries per candidate | How many times Scout tries to reach a candidate for one stage, counting the first call. | 1 try (never retry) to 5 tries (3) |
| Next try | How long after a missed call the next try is due. | 30 minutes to A day later (2 hours) |
Scout retries after no answer, a busy line, a voicemail or a failed call. It never retries after a real conversation, a declined call or a number that isn’t in service. A retry that falls outside calling hours waits for the next opening.
Calling hours#
| Setting | What it does | Default |
|---|---|---|
| Days | The days automatic calls may ring. Pick at least one. | Monday to Saturday |
| From and Until | The hours they may ring, on the hour. A call can start at From but not at Until. | 10:00 to 19:00 |
| Workspace time zone | Used when a candidate’s phone number doesn’t show their time zone. | Asia/Kolkata |
Calling hours apply in the candidate’s own time, worked out from their phone number. For example, an Indian or UAE number has one time zone. When a number could be in several, such as some mobile numbers, Scout uses the Workspace time zone.
- A call due outside the hours is held until the next opening. In Call logs it shows as Call scheduled.
- When a candidate asks to be called back at a time, Scout honours it over your calling hours, but never before 09:00 or after 21:00 their time.
- When a candidate rings your number, it’s answered whatever the time.
Numbers without a country code#
Country for numbers without a code decides how Scout reads a number on an uploaded resume or spreadsheet that has no country code. In an India workspace, 98765 43210 becomes +91 98765 43210. A number that has its own code keeps it.
Save#
Click Save.
ResultNew automatic calls follow the new settings.
Calls that ignore these settings#
- Call now and Call again ring straight away, at any hour, and aren’t retried. See Call a candidate now and follow up.
- Incoming calls are answered whenever they come in.
Test Call Number#
In Account settings › Test Call, the Test Call Number sends every call to a candidate, automatic or by hand, to that number instead. Calling hours then follow that number’s time zone. Clear it and save when you’re ready to call real candidates. See Calls aren’t going out.
