Write results back to your ATS
Scout can add its screening results to each candidate in your ATS, so your team sees them where they already work. Write-back is set per connection and is off until an admin turns it on.
Before you start
- You’re a workspace admin.
- An ATS is connected that takes write-back. See the table in Connect your ATS.
Open write-back settings#
Open Integrations. On Connected tools, find the connection under Your connections.
Open its ⋯ menu and click ATS write back.
ResultThe dialog says where results go, for example “in Greenhouse as a note”, and that nothing is sent while every section is off.
Choose what to send#
On the Write-back options tab, turn on the sections you want. They’re added in this order:
| Section | What it sends |
|---|---|
| Score and summary | The 0–100 Scout score, its band and the written summary. |
| Strengths, concerns and follow-ups | What stood out, what to watch, and the questions to ask next. |
| Score breakdown | The score for each area, the must-have skills met or missing, and each hard requirement. |
| Red flags | Gaps, contradictions and claims to verify, found while scoring. |
| Screening answers | Each screening question the agent asked, with the candidate’s answer. |
| Call analysis | The call’s fit, communication and technical scores, out of 5. |
| Call summary and recording link | What the call came to. The link to the recording in Scout is added only when the candidate agreed to be recorded. |
| Call activity | A note each time a call ends: answered, no answer, callback requested or asked not to call. |
Scores are guidance for your team. Scout scores and flags; it never rejects a candidate or moves them to another stage in your ATS. See Scores and fit bands.
Choose where it goes#
On the Destinations tab, choose where in the ATS the sections land. Only the destinations your ATS takes are listed. Notes stays on while any section is on, because it is the one destination that carries every section.
| Destination | What goes there |
|---|---|
| Notes | The sections you turn on, as a note or comment. |
| Assessment | An assessment on the candidate, from Score and summary, Score breakdown and Red flags. |
| Scorecard | A rating from the Scout band, with the score and summary. |
| Tags | “Scout:” tags for the band, red flags and the last call’s outcome. Other tags are left as they are. |
| Custom fields | The score, band and screening answers, in candidate fields named “Scout score”, “Scout band” and “Scout screening answers”. Scout never creates these fields; a missing one is skipped. |
| Document | The call summary and transcript, as a text file on the candidate. |
What each ATS takes#
| ATS | Lands as | Other destinations | Good to know |
|---|---|---|---|
| Greenhouse | A note | Tags, Document | Missing Scout: tags are created. The document is an admin-only file on the application. Notes post as the integration user unless you choose a user. |
| Workable | A comment, one per job | Scorecard, Tags, Custom fields, Document | You must choose a member to post as. The scorecard is a star rating; create custom fields as custom attributes in Workable first. |
| Recruitee | A note | Scorecard, Tags, Custom fields, Document | The scorecard is an evaluation by the API token’s user; a changed score adds a new one. The document is attached to the candidate, not to one job. |
| Breezy HR | A note | Assessment, Scorecard, Tags, Custom fields, Document | Each update replaces Scout’s last assessment. |
| Zoho Recruit | A note | None | Applies once Zoho Recruit candidate sync is available. |
| BambooHR | Not written back | None | See Connect BambooHR. |
Choose who it’s posted as#
Workable and Greenhouse attribute each write to one of their own users, so the dialog lists your ATS users to choose from.
- Workable: choosing a member is required. Until you do, nothing is sent and the dialog won’t save.
- Greenhouse: optional. Notes show as the API credential’s own user (Integration user (default)) unless you choose someone.
Save#
Click Save.
ResultThe dialog closes. The settings apply to that connection’s candidates from then on.
When results are sent#
- After Scout scores a candidate: the sections you turned on, except Call activity.
- When a call ends, if Call activity is on: a short note on how it went, and the Scout tags if Tags is on.
- After a video interview is scored, if Call analysis or Call summary and recording link is on: one note with the result.
Scout sends in the background, so it never holds up a call or a score. If the ATS doesn’t accept a write, Scout tries again; anything that already went through isn’t sent twice. Only candidates who came from that ATS are written back, never candidates you added by hand to a manual job.
